Publish your thesis

The Library's Thesis Production service helps doctoral students at Uppsala University, Dalarna University and the University of Gävle with the graphic design of covers, preparation of files for printing, contact with printing companies, and archiving and digital publication in DiVA.

Preparations

  • Apply for a time plan as soon as you have booked a defence date.
  • Install and use our thesis template.
  • Book an information session about 4–5 weeks before your posting date.

Fill in the form Request a time plan.
If you need to change your time plan, contact Thesis Production as soon as possible.

The following may affect your schedule:

  • Posting procedures (see details below).
  • Public holidays and bank holidays are not included in the time plan.
  • Thesis Production is closed during weeks 27–30 as well as over Christmas and New Year.

Using the templates is recommended for all doctoral students and mandatory for those in MedFarm. All theses must follow the design guidelines of their respective series.

We recommend that all doctoral students attend an information session with Thesis Production, approximately 4–5 weeks before the posting date.

The session covers

  • preparing your thesis for production
  • image and figure quality

  • posting and registration in DiVA.

File format

Use JPG for accessibility reasons (avoiding transparency). Save JPGs with minimal compression for maximum quality. Mac users can save the images as pdf or eps. If you use PowerPoint for Windows, you can save the images as emf.

Image resolution

The resolution of an image is expressed in ppi (pixels per inch).

The image resolution you need to use depends on the type of image you are using:

  • Most images should have at least 300 ppi. Files with a lower resolution may look good on screen, but can still be blurry or grainy in print.
  • Black and white line art or images with text/lines need a resolution of at least 600 ppi (max 1200 ppi).

Find out what resolution your image has

You can usually get information about an image file's resolution and number of pixels as follows:

  • If you are a Windows user, right-click and select Properties/Information
  • If you use Mac, select the file and type ⌘ (cmd) + i.

Calculate how many pixels your image needs

Equation: width of the image in print (cm) / 2.54 x 300 (resolution) = number of pixels required for the image width.

For example, if your image is supposed to be 12 cm wide in your book, the equation will look like this:

12 / 2.54 x 300 = 1417

In this case, the image file needs to be at least 1417 pixels wide.

Submission and production

Make sure you have a complete, proofread and corrected submission by the deadline.

When submitting your thesis, you need to register it in DiVA. For compilation theses, you must first register the articles that are included.

We design your cover based on the choices you make in the order form (see below).

All covers must follow the University's visual guidelines. From 1 November 2024, the University's new fonts, Work Sans and Cormorant Garamond, will be used for all covers.

Compilation theses

Below is an example of how the cover of a compilation thesis might look. The image on the cover page can be a maximum of 125 x 148.5 mm and the background must be white.

Monograph theses

For monograph theses, there may be variations depending on the series to which the thesis belongs.

In the order form, provide all the information required for the printing of your thesis.

2. Sign the form. Choose between

  • signing the form digitally using eduSign
  • printing, signing by hand and then photographing or scanning the form.

You will receive a link to Box for uploading your files, 1–2 weeks before the submission date.

Upload the following:

  • your complete thesis (including articles if it is a compilation thesis)
  • list of figures/pages in the summary and articles to be printed in colour
  • completed order form (see above)
  • cover image, if any.

Posting and digital publication

Before your defence, you must post your thesis to make it publicly available.

Posting has two stages:

  1. Prepare for the posting by registering your thesis in DiVA (see above).
  2. Hand in five printed copies of your thesis to the staff at the information desk at Carolina Rediviva. You will receive the date for the deadline in your time plan. Bring a valid photo ID (not a campus card).

Bear in mind that

  • doctoral theses must be posted at least three weeks before the defence of the thesis, in accordance with Uppsala University's Guidelines for Doctoral Studies
  • posting must take place between 16 August and 14 June. Those defending on 5 September or earlier must post during the spring term, no later than 14 June
  • Before posting, all doctoral students must have their theses approved by their faculty, and have booked a time for the defence.

Posting via a proxy

If you cannot post your thesis in person, you may send a proxy with a power of attorney to post and to deliver the books. Use the provided Proxy authorisation form (pdf) Pdf, 96 kB..

Shortened posting time

In exceptional cases, you can apply for a shorter posting time (less than three weeks). However, there are strict rules for this. The application, which must be approved by your supervisor and opponent, is sent to the Dean of the Faculty and submitted to the Faculty Office.

After posting

A digital posting receipt will be sent to your email address, confirming that the thesis has been posted. Your thesis will then be published on the webpage listing upcoming public defences in DiVA.

 

Opening hours for posting

Weekdays 9–15 during the academic year (excluding weekends and public holidays).

The traditional posting in the University Main Building is voluntary, and can be booked by emailing the University Main Building about a week in advance. State your date and time preference.

The University Main Building provides nails and a hammer. There is also a drill for making a hole in the thesis.

Publish your thesis digitally in DiVA.

For compilation theses, the summary (kappa) must be published in full text. Composite papers can be made openly available in DiVA if copyright permits. Monograph theses must be archived digitally in DiVA and should also be published according to open access, allowing increased dissemination.

Corrections after publication

The PDF file for digital publication must be identical to the printed version. If any part of the content needs to be corrected after publication, you can submit an errata list to Thesis Production. Use the template Errata list (zip) Zip, 139 kB.. The errata list will be published together with the digital thesis.

Licentiate theses

Licentiate theses are generally not submitted in printed form or digitally posted at the Library. However, Thesis Production can be hired for publication and printing.

  • Check if the faculty or department has specific requirements for how the text should be made available before the seminar.
  • If the doctoral programme ends with a licentiate degree, the the licentiate thesis should be registered and published digitally in DiVA.The licentiate thesis must be available no later than three weeks before the planned examination.
  • Other licentiate theses can also be registered and published openly available in DiVA if appropriate.

If you choose to hire Thesis Production:

  • Start by applying for a time plan (see above).
  • Check whether the department or research area has further instructions, for example whether the thesis is to be included in a series or whether a certain number of printed copies are to be produced.

Costs for the production of theses

With your first proof, you will receive an offer that includes the base cost, printing cost and any costs for archiving/digital publication in DiVA.

If you need supporting documentation to apply for a printing grant, please contact Thesis Production.

Base cost, 7000 SEK (excludes printing costs)

You will receive help with the administrative, technical and graphical work needed for your thesis to be printed and delivered on time.
This includes:

  • preparation of files for printing
  • design of covers in accordance with requirements and guidelines
  • booking and liaising with the printer, in accordance with the relevant framework agreement.

One PDF proof is included. The price applies to all thesis types.

Printing costs

Your thesis is printed by a printer within the University's framework agreement.

Archiving/digital publishing in DiVA, 4000 SEK

Digital publication of the summary (kappa) is mandatory for compilation theses, in accordance with the Vice-Chancellor’s decision (pdf).

The Disciplinary Domain of Humanities and Social Sciences are invoiced twice a year, to the relevant faculty, to the sum of 4000 SEK per thesis (not included in the offer).

Digital long-term archiving in DiVA is mandatory for all doctoral theses within the Disciplinary Domain of Humanities and Social Sciences (see decision (pdf) and documentation (pdf).

The cost of colour pages is calculated as: Number of colour pages x 1 SEK x number of books = cost of colour pages only. Please note that prices are approximate.

If you cannot or do not have time to use the thesis template, we can do it for you. Please contact us well in advance of your submission so that we can allocate time and adjust your time plan.

Editing of images and tables, 150 SEK/item

If you need help editing images or formatting tables, we can help you if time permits. Please contact us well in advance of your submission so that we can allocate time and customise your time plan.
