Digital meeting services
Use Zoom for digital meetings. Zoom is the preferred digital meeting service at Uppsala University and free to use for all employees (except "Other Active Personnel Mini") and students at Uppsala University. With Zoom, you are able to invite students, colleagues and external contacts to meetings with video and sound, from your own computer.
Zoom offers a variety of features. Zoom can be used for chatting and remote meetings or to hold digital lectures, seminars and examinations. Through Nordunet's own computer halls in Copenhagen and Stockholm, Zoom offers a higher security than most digital meeting services, including Zoom Cloud.
AI Features
The university's current license does not yet include AI features such as transcription and AI companion. We are working with Sunet to see how we can gain access to these. Unfortunately, there is no timeline for when this might be completed.
About Zoom meetings
Participants can connect to a Zoom meeting using the Zoom app, a web browser or traditional videoconference systems. Participants are not required to have a Zoom-account. There is a free basic account available for external guests who want to use the Zoom-client at www.zoom.com.
Meeting in Zoom can have up to 500 participants. Webinars with up to 10 000 participants can be requested from IT-support.

Microsoft Teams is not yet available to all users at Uppsala University. If you need the program to be able to perform your duties, you can contact itsupport@uu.se to have your access granted.
Please note that University IT Services only provides support for Sunet Zoom.
Zoom and integrity
The Zoom service used by the university, provided by Nordunet, does not grant the company Zoom access to audio/voice, video, or shared information and content.
For the Zoom Cloud service, which "everyone else" uses:
- Zoom does not use audio, video, or chat content for training their AI models without customer consent.
Processing of personal data
Zoom at Uppsala University is an online meeting system for employees, other personnel, and students. The service is operated by Nordunet, owned by the corresponding research councils of the Nordic countries, in data centers in Copenhagen and Stockholm for educational institutions in the Nordic region. Uppsala University's management of Zoom is administered by University IT Services.
No meeting content is stored with the provider. Recordings of meetings, text in the chat, and notes are saved locally on the computer recording the meeting. The meeting host determines who is allowed to record a meeting.
End-to-end encryption (E2EE) is chosen for confidential meetings. This provides a CIA: 322 for the meeting. Several features in a Zoom meeting are then not available as a consequence of E2EE.
Zoom Team Chat (not meeting chat) is encrypted during transmission and when stored on the server. Team Chat is encrypted end-to-end, meaning that only the sender and specified recipient/participant can read the content. This gives a CIA of 322 for Zoom Team Chat specifically. Data from Zoom Team Chat is stored on the Zoom server for 1 month and in clients for a maximum of 1 year.
No sensitive personal data stored at or transmitted to the provider. Names, account names, email addresses, and in meetings, IP addresses are stored by Nordunet to provide the service to us and our users.
In 2024, Zoom joined the EU-U.S. Data Privacy Framework.
Service level and availability
The digital meeting services at Uppsala University is normally available every day, around the clock. Handling of inquiries, orders, error reports take place during regular office hours. Nordunet, which provides our Zoom service, usually performs updates and changes outside of office hours. Sometimes these works may result in service interruptions. If we receive information about these works, which may involve interruptions, we will inform about them on the employee portal under 'System status information'.
Who can use Zoom?
Students, staff, and other individuals associated with the university who pay the IT fee 'Associated Midi' or a higher level does have access to Sunet Zoom.
Users need to have a mail address within the uu.se domain.
Your Zoom account is active as long as you log in to Zoom, through the Zoom app or via the Zoom web. If you have not logged in during the last 6 months, your account will be deleted.
