What happens with your email when you leave?

You are responsible for ensuring that all emails you have received and that need to be handled, but have not yet been dealt with, are handed over to your immediate supervisor when you end your employment at Uppsala University.

Emails in mailboxes belonging to an account that has been inactive for four years will be deleted.

The person in charge of the catalogue at the department where you are active will remove you as active at the department, and the email address associated with the employment may be discontinued. This depends on whether the email address is in the form firstname.lastname@uu.se or firstname.lastname@department.uu.se.

What does this mean?

If you are not active at another department at Uppsala University and listed in the catalogue there, the following applies:

When you are removed from the catalogue by the catalogue administrator, a standardized out-of-office message can be set on the email address. The out-of-office message is valid for 150 days.

If a message other than the standardized message is desired, contact the catalogue administrator or itsupport@uu.se. The out-of-office message should be set before the employment is removed.

If you are active at another department at Uppsala University and listed in the catalogue there, the following applies:

If you have employment at another department at Uppsala University, it varies depending on which email address the department uses:

1. Email addresses ending with @uu.se are not affected and will continue to function as intendend at the new department.
   
   In this case, no auto-reply/forwarding can be set as the email address does not end but continues as usual at the other department.
   
   
2. For email addresses ending with @department.uu.se, the catalogue administrator can set an auto-reply. It will take effect after the employment has ended and is valid for 150 days. Email forwarding can be set by itsupport@uu.se but only for internal forwarding within UU.
   
   If no auto-reply is set or after the auto-reply has expired, the sender will receive a message that the email address no longer receives emails.
