If you have been granted a scholarship

Have you been awarded a scholarship? Congratulations! Below is information about what applies to you as a scholarship holder.

To see your scholarship holdings, please log in to the scholarship system. There, under “Holding of scholarships”, you can see the name of your scholarship, the time of holding and the amount (when the scholarship was awarded). Follow the link “Decision” to read the decision of your holding of scholarship. It is important that you read the decision!

The amount specified in the decision is the amount that will be paid each term you hold the scholarship. This amount may increase or decrease from term to term, depending on the funds’ returns. Other conditions apply to research and travel scholarships.

Each scholarship has its own requirements and you must meet these requirements each term you hold the scholarship. The requirements for each scholarship are listed at Find scholarships. Unless otherwise stated, you must be a full-time student at Uppsala University. If you are not sure, contact the Scholarships Office.

When you have been granted a scholarship covering several terms you must monitor your scholarship each term in order to keep it. Note that you should not monitor your scholarship the term you are awarded it. During exchange studies it might not be possible for you to keep your scholarship. Contact the Scholarships Office before the exchange for more information.

In some special cases, you can pause your scholarhip. This means that you may maintain the scholarship if you can't use it for one or two semesters.

Reasons for retaining a scholarship can be parental leave, sick leave, full-time duties with a student union or student nation or other specific reasons. Consideration of the reasons is made individually and according to the requirements of the scholarship. Illness, parental leave and the like shall be supported by a certificate.

If you cannot use your research or travel scholarship for the purpose for which it was awarded, you may in exceptional cases be granted to reallocate the funds. In that case, an application for this must be sent to the Scholarship Office.

Prolongation means that you have the right to apply for the same scholarship that you have been granted earlier and that you may then be allowed to extend the holding period of the scholarship. The regulations for each scholarship state how long a person can hold the scholarship and also if prolongation is possible.

If it is possible to extend the holding, you can only do so when the scholarship is announced and your previous holding of it has expired. You then apply for the scholarship with usual proceeding, but under the tab “Finish” you must state that you have previously been a holder of the scholarship. The person who applies for prolongation may have some priority, but the selection is always made in competition with other applicants and prolongation is never guaranteed.

The holding period for research and travel scholarships is usually about one year but can vary. Therefore, read carefully the decision for your scholarship. The funds shall be requisitioned in good time before they are to be used. Expected turnaround time is a few weeks. During the summer it can be longer.

The decision letter states whether you should require the funds via the scholarship system, or if the funds should be transferred directly to your department through the University's financial administration system. Also read carefully if you are supposed to requisition the entire amount at once or whether it should be split into two or more payments.

Once you have used a travel scholarship you must, within three months after the travel ended, send a travel report to the Scholarships Office. The report should be approximately 1–2 A4 pages and briefly describe the contents of your journey. There is no special guide for how the report should be written. Describe what the funds were used for and how it benefited your research or the equivalent. Do not include receipts or the like.
