Affiliation procedures when publishing research at Uppsala University

These procedures have been developed at Uppsala University Library in collaboration with bibliometricians at the University’s Planning Division.

Rationale

At Uppsala University, there are ethical guidelines for publications. These guidelines should be accompanied by adherence to affiliation procedures. Researchers at Uppsala University are required to correctly state their affiliation with the university when publishing. Publications with unclear, incorrect, or overly broad affiliations risk exclusion from analyses, evaluations, and follow-ups, especially when external databases are used. Properly stated affiliations are a significant factor in funding allocation, bibliometric points, and the national and international ranking of Uppsala University.

Examples of incorrect affiliations (together with the correct versions) can be found in Appendix 1.

Template for specifying correct affiliation

The minimum requirement is to state the department, or equivalent, at Uppsala University. This should be done in the following order:

• Department, University, City, Country

If recommended by faculty or departmental guidelines, also specify the division or research program:

• Division/Research Program, Department, University, City, Country

Examples of correct affiliation:

Multiple affiliations

Specify all affiliations associated with the research in question, including different organisational units within Uppsala University, as well as affiliations to other organisations. It is important to list each address separately and not to combine them.

Examples of correct dual affiliation to two organisational units at Uppsala University:

Distinguish between Uppsala University and Uppsala University Hospital if the research has been conducted at both. Add a dual affiliation if both positions underlie the research.
