Extension of study period for doctoral student in elected positions
These guidelines are valid for extension of study period for doctoral students in elected positions from 2022-01-01 and onwards.
The following elected positions for doctoral students within the
faculty are eligible for extension of the employment as a doctoral
student (no compensation for meeting shall be paid):

a. The position corresponds to approx. 30% of full-time position and should be shared by two doctoral students. The division of the position between two doctoral students is decided by the Faculty Board (Executive Committee).
Criteria
- Attendance: The above extension applies to the holder of a
elected position for a period of one year. The doctoral
student must also have attended the majority of meetings
concerned.
- Application: The doctoral students must apply for the
extension themselves. All applications for extensions must
submitted to the Faculty Board/Office, including those for
general extensions decided by the University. Applications
for extension funds must be made within the period of
doctoral studies, but no earlier than six months before the
end of the regular doctoral period. A supporting
recommendation from the principal supervisor must be
attached to all extension applications.
- Additional extension: If the position during any semester
requires more activity on the part of the doctoral student
than the specified minimum number of days, e.g.
involvement in special projects conducted by the respective
body, the doctoral student can apply for an additional
extension from the Faculty. Other elected positions within
the University may also be grounds for extension. In such
cases, the length of the extension is determined by the
Faculty Board upon application by the holder of the
position. However, no extension is granted for positions
requiring less than 5 days of work input per year.
- Responsibility for costs: Costs for extension as described
above shall be funded by the Faculty. Remuneration during
the extension is at the same level as the doctoral student's
salary prior to the extension.
Other
Extension of the study period for a doctoral student with an elected
position within the Doctoral Board at the Faculty and the
Department Boards is regulated centrally (UFV 2014/72 or UFV
2021/2081. Extension related to Department Boards is applied for and handled by the departments.
Matter
Doctoral students receive an extension of their study period for
elected positions in Faculty bodies. At the meeting of the Faculty
Board on 7 September 2021, it was decided that student
representatives at the doctoral level shall not receive acompensation for participating in permanent bodies of the Disciplinary Domain Board, but can apply for prolongation as necessary in accordance with Vice-Chancellor decision UFV 2014/72. The Faculty Board also decided that a review of the current rules on extension for doctoral students holding elected positions at the Faculty would be initiated, and a working group
was appointed on 21 September 2021.
This decision replaces former decision, TEKNAT 2016/6.
