Production process

This is a description of the film process and its components. The headings follow the order of the process.

1:1 Idea description from client sent to media producer

Fill in the idea description on the website. You can also get it as a PDF via email.

1:2 Meeting between the client and the media producer (no cost)

A meeting on the idea description.

1:3 Script work (processing by media producer: 750 SEK/hour)

Processing the idea description, script with spoken text and image script.

  1. The client writes a script as decided in the meeting.
  2. The media producers provide feedback.
  3. Experts provide feedback.
  4. A pedagogical developer provides feedback.
  5. The decision to approve the script is made in consultation between the media producers and the client.
  6. If it is decided the script needs further processing, go back to the script work.
  7. The media producers produce image scripts.
  8. The visual script is presented to the client.
  9. Deciding on whether the script is approved.
  10. If it is decided that the image script needs further processing, go back to the image script work.

1:4 Recording (1 hour 3,000 SEK, half day 4,000 SEK, full day 6,000 SEK)

Transport to the venue, rigging, simple lighting, sound recording and training in front of the camera.

When planning the recording, the following aspects should be covered:

  • Date and time for each recording location – including transport to the venue, rigging, basic lighting, sound recording and on-camera training
  • People – no budget.
  • Venue booking and on-site reconnaissance – included in the price, but the media producer needs time for this (1 hour – half a day)
  • Technology

Recording:

  • Script and image script form the basis for the recording – this includes transport to the venue, rigging, simple lighting, sound recording and training in front of the camera.
  • Recording is normally done with one camera and one media producer, which means that most things need to be filmed several times from different angles, moving lights and equipment in between.

1:5 Editing (1 hour 3,000 SEK, half day 4,000 SEK, full day 6,000 SEK, small fixes 750 SEK/hour)

Transfer of material, sorting, simple editing as agreed, e.g. speaker, music, sound effects, rendering and delivery of film. Subtitles are not included.

The media producer edits the recorded material in the following steps:

Draft 1

  • Rough editing – putting the clips in order
  • Mood – pacing the clips, etc.
  • Music – does the music and other sounds fit?
  • Have we missed anything in content etc?

Draft 2

  • Signs and text – the client provides names and text needed for graphics and signs, nameplates, titles, the film title and subtitles for episodes, and credits.
  • Further editing.

Draft 3

  • Spelling errors – the client checks, the media producer corrects
  • Minor errors – the client checks, the media producer corrects

1:6 Publication

  • The responsible media producer sends the film to the client – we use Box or WeTransfer
  • The responsible media producer delivers the file and archives it while the client uploads it to Studio or another platform for distribution.

In film production, it is important to set and meet different times and deadlines so that the film can be delivered on time for use by the target audience.

2:1 Deadlines

  • Deadline for the finished film – indicates when the film will be delivered according to the agreed delivery method.
  • Deadline for the script – indicates when the finished script is sent to the media producer.
  • Deadline for locations and actors – indicates the date for booked filming locations and actors in the film. Normally done by the client.
  • Deadline for filming – indicates when all filming should be done and ready for editing. After this date, no significant amounts of new material or content ideas for the film should be submitted.
  • Deadline for draft 1 – indicates when the client can give feedback on the first version of the film. In this version, not everything is ready, and the feedback is about the content and mood of the film.

2:2 Other times

  • Time for location scouting – the time needed depends on the location and whether the media producer has previous experience with the location. It may be worthwhile to choose a location close to the BMC and a previously known location. MedfarmDoIT does not record outside Uppsala.
  • Time for rigging and lighting – depending on the complexity of the location and content of the film, this can take different amounts of time. Expect between 30 minutes and an hour. The rigging may also need to be redone during filming as the camera and participants move. Plan for this when booking actors and locations.
  • Time for practice in front of the camera – participants may need to practise lines, and the media producer may need to see how participants move and speak to get a good “act”, a good picture and a good sound.
  • Time for recording and recording process.

2:3 Locations for recording

  • MedfarmDoIT has a studio that can be booked free of charge. The media producer books it.
  • Other premises at Uppsala University need to be booked by the client. There is no budget at MedfarmDoIT.
  • Premises outside Uppsala University may also require authorisation. The client is responsible for finding this out and arranging any necessary permits.
  • Generally, recording permits are required in public places.

MedfarmDoIT is a support and resource for all at the Disciplinary Domain of Medicine and Pharmacy who wish to create and use IT tools within the framework of education at the undergraduate and graduate levels. By increasing the use of IT tools, the quality of medical and pharmaceutical undergraduate education is to be raised.

MedfarmDoIT has no mandate to produce films for completely external clients but refers to other production companies on the market. If there is a connection to Uppsala University, the following applies:

3:1 MedfarmDoIT’s film assignments at no cost to Medfarm

These assignments have priority for MedfarmDoIT and should take precedence when selecting assignments:

  • Instructional films and other films used for teaching at the undergraduate and graduate levels
  • Recorded lectures in the self-study studio – the client records themselves, and MedfarmDoIT provides the studio and coaching
  • Coaching for self-produced educational films at the undergraduate and graduate levels
  • Editing of self-produced educational films at the undergraduate and graduate levels

3:2 MedfarmDoIT’s film assignments at a cost to Medfarm

These assignments are prioritised over assignments outside Medfarm. Internal invoicing is done according to the price list and schedule (see above).

Films that are not for teaching at the basic or advanced levels, such as for research projects, general information, or other purposes.

3:3 MedfarmDoIT’s film assignments at a cost to other areas at Uppsala University

These orders can be carried out according to time and relevance. Internal invoicing is done according to the price list and schedule (see above).

3:4 What MedfarmDoIT does not do

  • Completely external assignments
  • Subtitling of films
  • Advanced graphics
  • Hiring of actors or extras
  • Creation of film music or sound

The responsibility for subtitling and distribution to the target audience lies with the client.

In Canvas Studio, there is an instructional video on how subtitling works. MedfarmDoIT can provide support when using certain video editing programs for subtitling.

Productions within the main assignment are primarily delivered via Sunet Box for self-publishing on Canvas Studio.

Other productions within Uppsala University can also be delivered through external transfer systems such as WeTransfer.

In cases where transfer as mentioned above is not possible, the client is responsible for enabling delivery, for instance, by using an external hard drive.

In Sweden, copyright automatically applies to the authors of the work. That means that the client is entitled to the use of media productions under the agreement with MedfarmDoIT. For any other use than the agreed upon, though, a new agreement must be made. The GDPR law is about protecting privacy when it comes to data collection. It is sometimes confused with general guidelines on consent to participation.

In public places, there is no need for consent or special permits for filming. However, authorisations are required for filming that can be used for surveillance purposes, such as drone filming in certain areas.

In places that are not public, such as Uppsala University, general guidelines for consent to participation apply. This means that those who are in the area must be allowed to give their verbal consent or refrain from being in the picture. No written agreement is needed.

For advertising films or modelling, written consent is required.

If a participant is a minor, their guardian must give their consent.

Films produced within the scope of Medfarm DoIT's assignments are uploaded to Medfarm Play for archiving, but the client is responsible for publishing the films. Primarily, Canvas Studio should be used for publishing to students.

During an upcoming period, Medfarm Play will be used in parallel with Canvas Studio, but over time, publishing to students through Medfarm Play will be phased out, and the channel will only be used for storage.
