The Event and Venue Booking Service assists you with booking venues at the Ångström Laboratory for seminars and meetings that align with Uppsala University’s vision – to be a place where knowledge, culture and open discussion come together, founded on scientific integrity.

Sustainable events

Sustainability is a central aspect of event booking at the Ångström Laboratory. We provide support to help you make your event as environmentally responsible and resource-efficient as possible.

Some simple and easily implemented actions to make your event more sustainable include:

  • Serve vegan or vegetarian food, preferably using seasonal ingredients.
  • Avoid single-use items for food and beverages and/or choose eco-labelled alternatives.
  • Plan sorting of waste generated by the event. The Event and Venue Booking Service provides signage and waste-sorting bins.
  • For information to be communicated before, during and after the event, consider whether it can be shared digitally instead of being printed as posters or paper handouts. Our AV technicians can often suggest innovative solutions for digital information sharing during events.
  • Enable digital participation, especially for attendees who would otherwise need to travel long distances. We offer premises that are particularly well suited for hybrid meetings.
  • Send information in advance on how to travel to the event in a sustainable way. Recommend carpooling for those who need to drive.
  • If you plan to offer goodie bags, consider both packaging and contents carefully. Focus on items that are useful rather than disposable; good alternatives include locally produced food or drinks, high-quality branded products, or digital gifts such as a ticket or a discount code.

The Event and Venue Booking Service is happy to provide information and recommendations to make your sustainability planning for events as smooth as possible.

How do I make a booking?

Email the Event and Venue Booking Service with the following information:

  1. preferred venue and/or event area
  2. proposed date and time
  3. requirements for event equipment
  4. invoicing details, such as organisation number, invoice address and invoice reference

When can the premises be booked?

Teaching always takes priority in lecture halls. Only once teaching has been scheduled can other bookings be made. If you wish to book a venue well in advance, it is usually easier to find availability during weekends, evenings, academic breaks, or periods with reduced teaching activity, such as examination periods, which always take place at the end of teaching blocks.

Please contact the Event and Venue Booking Service with an enquiry, and we will be happy to help you check availability, even if the date is far in the future.

Which venues can be booked?

We offer a wide range of venues in various sizes and with different types of equipment. These include, among others, an auditorium seating 320 people, three flexible lecture halls that can be reconfigured for activities such as workshops, ALC rooms with interactive screens, and lecture halls suitable for digital poster exhibitions.

If the number of participants is fewer than 30, you can book one of the Ångström Laboratory’s meeting rooms.

Event areas

We have three event areas: one in Building 10 and two in Building 1. These areas are suitable for larger, fair-style events and poster exhibitions.

There are also designated areas outside the Heinz-Otto Kreiss, Sonja Lyttkens, Polhemsalen and Häggsalen lecture halls where tables can be set up, for example for serving refreshments or displaying individual digital poster screens. Tables for these areas can be collected by users from the trolleys with loan tables located near the lecture halls. After use, the tables should be cleaned and returned to the trolley.

Event area RICH-speglar and Event area Siegbahn

  • Approximate location of the event areas in Mazemap.
  • The event area is located adjacent to Siegbahnsalen.
  • The RICH-speglar event area is well suited for events where you wish to engage or attract passers-by.
    The Siegbahn event area is suitable for mingling and/or poster exhibitions in connection with events held in the Siegbahn.

I have booked a venue and event equipment – what happens next?

We look forward to welcoming you to the Ångström Laboratory! There are a few things to keep in mind in preparation for your event. To assist you, we have put together a checklist.

If you have any questions, you are always welcome to contact us via the Event and Venue Booking Service mail.

  • Borrowing equipment - It is possible to borrow event equipment such as tables, chairs, poster screens and more. Please email the Event and Venue Booking Service to let us know what you need.
  • AV equipment - You may need to bring your own adapter to connect your computer to a screen or projector. For all types of hybrid or digital meetings, please check with us in advance that the required AV equipment is available in the venue. For more information about the technical equipment in your booked venue, or to book start-up support, please contact our AV technicians by email.
  • Locked venues - Lecture halls named after individuals are locked after 5.30 pm. Meeting rooms are always locked. You can borrow an access card from the reception desk.
  • Cloakroom - There is an option to hang outerwear and store luggage in a room on level K1 in Building 10 (room 10K1123). Access to this room is provided via a loan access card from reception. The University does not accept responsibility for personal belongings, whether stored in locked areas or not. We recommend not leaving valuables in the cloakroom.
  • Food and drink in lecture halls - It is important not to leave any traces of food or drink, such as litter or food odours, that may disturb subsequent activities in the venue. We recommend simple food options such as sandwiches or salads. Serving buffet-style meals or food eaten from plates is not permitted in lecture halls.
  • Furniture layout - Always restore the venue according to the seating plan displayed near the exit and dispose of waste at the nearest waste-sorting station.
  • Notices and information - Notices may be placed in designated holders outside the lecture halls or on walls using adhesive putty, which can be borrowed from reception. You can also borrow A4 information stands or A-boards via the Event and Venue Booking Service. Please remember to remove all materials after the event. Tape must not be used on walls, windows or other surfaces.
  • Ventilation - Comfort ventilation is active on weekdays between 6 am and 6 pm. At other times, you can manually activate comfort ventilation during your event using the nearest ventilation control button. Ventilation will then run for a fixed time period.
  • Valuables - Please remember never to leave valuable items unattended.
  • Safety - The person responsible for organising an event at Uppsala University is also responsible for on-site safety. There is guidance available for conducting safety assessments, as well as a risk assessment form.

Safety briefing

We recommend that you begin your event with a brief safety briefing for participants, including the following information:

  • Emergency number 112 in case of immediate danger to life, health or property
  • The University’s emergency number +46 (0)18 471 25 00 in case of a serious incident or urgent need for security support
  • The nearest emergency exits, both from the venue and from the building
  • The Ångström Laboratory’s evacuation procedures (see our evacuation information pages for more details)
  • The nearest defibrillator (there are three on the entrance floor; locations are shown on Mazemap)
  • First aid boards (often located near toilet areas)
  • The event’s designated safety contact person.
