Support for those working on department or centre pages
Here’s some help for people working on department and centre pages – how it works, what to consider and what guidelines apply.
Pay attention to the target group
Departments and centres have their own pages on each of the three target group gateways – the external website, the Staff Gateway and the Student Gateway. This makes it easier for target groups to find the right information – provided that you have targeted the information in the different gateways to the relevant group.
Prospective students can find their programme through the university-wide education pages. Prospective employees can find job vacancies on the university-wide job pages.
Do not duplicate information - supplement and link instead
Remember not to duplicate information that already exists elsewhere on the University website.
News and events
News and events are posted on one of the three target group gateways (external, student, staff). The news and events are then displayed in different places according to certain principles.
One important thing to know is that all events posted on your external pages also appear in your feed on the Staff Gateway as well as in each staff member’s personal news feed.
Departments and centres on the external website
The department’s/centre’s external website (uu.se) is primarily aimed at external target groups such as research colleagues at other departments and universities, partners and journalists.
You can present your programmes to prospective students, but it should be brief. The full details of your programmes should be available in the university-wide catalogue of programmes.
Structure and menu of the external website
- On the external website, consistency is important so that a visitor can recognise and find their way around quickly. The standard set of subpages to be followed is:
- Education
- Research
- Collaboration
- About us (mandatory)
- Contact (mandatory)
- News (hidden in the menu)
- Calendar (hidden in the menu)
- The order of the pages should be as shown above.
- As far as possible, the Education, Research and Collaboration pages should be present to describe the activities of the institution/centre. If any of these three are not relevant, they can be removed.
- About us and Contact are mandatory.
- The contact page uses the contact template that retrieves information from the staff directory. Changing or adding contact routes is done in Akka.
- The research pages should present the organisation’s research in a structured way using the research templates available. Guide to research templates.
- Sometimes there may be a need for a subpage in addition to these. In this case, please contact the web editorial team who will help you find a good structure for your content.
Content on the external website home page
The home page should make it easy for the visitor to click through to the pages. Highlight what is current and what you know is relevant to the target groups, what visitors want and what you want to reach out with.
Mandatory content on the start page in the template
- Large header with image and text. Guide for start pages.
- The image should reflect the organisation and be 1932 pixels wide and 828 pixels high.
- The text should be the name of the department/centre and, if you wish, an appropriate subtitle.
- Local search box that only searches within your pages on the external web.
- Buffers for target group inputs to enable the visitor to navigate between the three.
Examples of other content on the home page
- News feed (ordered from IT support)
- Events feed/calendar (ordered from IT support)
- Publications list, e.g. the latest publications
- Image buffers, arrow buffers, news buffers
Departments and centres on the Staff Gateway
The department’s/centre’s web pages on the Staff Gateway are aimed at the department’s/centre’s own staff, who are also the only ones who can see the content of the pages.
Staff members can access the home page via the personalised menu in the top right-hand corner of the Staff Gateway or on the Staff Gateway home page.
Encourage your staff to check the personalised feeds on the Staff Gateway homepage every day to avoid missing information.

- You adapt the page structure and content to your internal needs.
- The internal contact routes may differ from the official ones in the staff directory. Depending on your situation, you can choose to build your own contact page for your internal contact routes or display the information from the staff directory. You can also combine the directory information with your own information.
- Only include information that is specific to the staff at your department or centre.
- Do not duplicate information that already exists elsewhere.
