Within Erasmus+, there is the opportunity to apply for a number of grants to finance traineeships, field studies, or any other form of study-related activity at a company, organisation, or university abroad.

About the Erasmus Traineeship grant

The grant can, for example, finance the collection of data for an independent project. An independent project can be a degree project, a C-, D-, or Master's thesis, or a doctoral dissertation. Other student activities that could be funded by the grant include summer jobs or work-based education (VFU). The important thing is that your department has approved the activity as relevant to your studies.

The grant does not provide full cost coverage. It is intended to cover additional costs during your traineeship. The size of the grant may vary from one year to the other.

Ways to go on an traineeship with an Erasmus grant

Depending on which Erasmus Traineeship grant you are applying for, you can carry out an Erasmus Traineeship within the framework of one of the following options:

1. As part of a traineeship course at Uppsala University

You complete a traineeship at a company, university or other organisation as part of an internship course at Uppsala University. The internship/traineeship is assessed by Uppsala University and the credits are counted towards your degree.

2. As part of a degree project/thesis

You are registered for a degree project in Ladok and are examined by Uppsala University, but carry out data collection at a university, company, or organisation. The internship/data collection must be approved by your supervisor at Uppsala University. You may not be registered for a course at the host university during this period.

3. Outside your regular study programme (before graduation)

You complete a traineeship outside your study programme before graduating. The traineeship cannot be credited towards your degree but may be included in your Diploma Supplement. Someone at your department must confirm the academic relevance of the traineeship. This option does not apply to Erasmus Traineeships outside the EU.

4. Traineeship after graduation

You can complete an Erasmus Traineeship after graduation, but you must apply for the grant during your final semester as a student. The traineeship cannot be credited towards your degree and must be completed within 12 months after your final course at Uppsala University has been registered as completed. The academic relevance must be confirmed by your department. This option does not apply to Erasmus Traineeships outside the EU.

To be eligible for an Erasmus traineeship, the following criteria must be met:

  • You are registered as a full time student at Uppsala University when you apply.
  • You must have completed university studies of at least 60 credits before the start date of the traineeship. Credits from other universities or higher education institutions may also be included in these 60 credits.
  • Your studies are aiming towards a Bachelor’s, Master’s or doctoral degree at Uppsala University.
  • You have arranged a traineeship that has been approved by your department and it must be relevant to your studies and your future career.
  • The organisation where the traineeship will take place is approved.
  • Full-time normally refers to 40 hours per week, but it may vary between countries and organisations. If the traineeship involves fewer hours, this must be justified by the host organisation.
  • You must not have another EU grant during the same time period.
  • If you plan to do a traineeship after graduation, you must submit your application during your final semester at Uppsala University. The entire traineeship period must take place within 12 months after the end date of your final semester at Uppsala University. For example, if your final semester ends on 6 June, the traineeship must be completed no later than 6 June the following year. However, traineeships after graduation is not possible with the Erasmus Traineeship grant outside the Erasmus countries.

Students with a residence permit

Students studying in Sweden on a residence permit should check with the Swedish Migration Agency that participation in exchange studies or traineeship outside Sweden does not affect their residence permit. Please refer to the Swedish Migration Agency's website.

Visa to participate in an Erasmus traineeship

Depending on your nationality and the country where you will be conducting your traineeship you might need to apply for a visa/residence permit. Please make sure to properly check what is required in your case. In some instances you might need to show that you have been granted an Erasmus Traineeship grant – if this should be the case for you: make sure to apply on time.

You can receive different types of Erasmus grants and apply several times. However, you are only entitled to the grant during the period when you are physically present at your traineeship location.

The following rules apply regarding how long and how many times you can receive an Erasmus grant:

  • Within the Erasmus programme, one month is considered as 30 days. You can receive an Erasmus grant for a maximum of 12 months (360 days) for each educational level (Bachelor's, Master's, and doctoral levels). Students enrolled in long non-structured programme, such as the Medicine Programme, are allowed an Erasmus grant for a total of 24 months (720 days) during their entire education.
  • For those who have previously participated in an exchange or traineeship with an Erasmus grant in the same educational level, whether through other institutions in Sweden or abroad, that period is also counted within the 12 months (360 days).
  • If you participate in a short Erasmus traineeship, your traineeship must be 5–30 days. If you participate in a long Erasmus traineeship within or outside the EU, your traineeship must be 2–12 months.

Different Types of Erasmus Traineeships

There are three types of Erasmus Traineeship grants. Below you can find more information about each grant, including possible study formats, applicable conditions, and the different grant levels.

With the Erasmus Traineeship grant within the Erasmus countries, you can participate in a traineeship, field studies, or any other form of study-related activity for 2-12 months at a company, organisation, or university within a country in the Erasmus programme.

There are four different ways to carry out an Erasmus Traineeship within the Erasmus countries:

  1. Within the framework of a traineeship course at Uppsala University
  2. Within the framework of a degree project or thesis
  3. Outside your regular study programme
  4. Within twelve months after you have graduated

Grant groups

Erasmus traineeships within the Erasmus countries have two grant groups. See the list of grant groups to find which countries are included in each group. Grants are not awarded for traineeships in Sweden.

With the Erasmus Traineeship grant outside the Erasmus countries, you can take part in a traineeship or field study lasting 2–12 months at a company, organisation, or university in a country that is not part of the Erasmus programme.

There are two different ways to carry out an Erasmus Traineeship outside the Erasmus countries:

  1. Within the framework of a traineeship course at Uppsala University
  2. Within the framework of a degree project or thesis

A traineeship carried out as part of a degree project, including field studies, must include actual work tasks and cannot consist solely of data collection.

Voluntary traineeships are not possible for Erasmus traineeships outside the Erasmus countries.

If your host organisation is a university

If you plan to carry out your Erasmus traineeship at a university outside the Erasmus countries, there must be an Erasmus agreement between Uppsala University and the host university. It is always your home department that decides whether such an agreement can be established. Therefore, contact the Erasmus coordinator at your department as early as possible to find out if this can be arranged.

Grant groups

There are three groups for the Erasmus Traineeship outside the Erasmus countries.

Group 1: 730 €/month

  • The Faroe Islands
  • Switzerland
  • UK

Group 2: 680 €/month

  • Andorra
  • Monaco
  • San Marino
  • Vatican

Group 3: 700 €/month

  • All other non-EU countries that are not part of the Erasmus programme

A short Erasmus traineeship means that you can participate in a traineeship, field studies, or any other form of study-related activity for a period of 5–30 days at a company, organisation, or university within a Erasmus programme country. A short Erasmus traineeship must be carried out in a blended format in one of the Erasmus countries.

There are four different ways to carry out a short Erasmus traineeship in a blended format:

  1. Within the framework of a traineeship course at Uppsala University
  2. Within the framework of a degree project or thesis
  3. Outside your regular study programme
  4. Within twelve months after you have graduated

What does a blended traineeship format mean?

A blended traineeship format means a combination of a physical part performed at the traineeship site outside Sweden and a virtual part performed remotely. PhD students are exempt from the requirement to have a mandatory virtual component.

The physical part of the traineeship

The following applies to the physical part of the blended mobility:

  • Must be performed on-site at the placement location
  • Must be at least 5 and at most 30 days
  • You are eligible for the grant for the physical part

The virtual part of the traineeship

The following applies to the virtual part of the blended mobility:

  • Must be performed remotely
  • Can be done either before, during, or after the physical part with any length

Grant groups

You are eligible for the grant only during the physical part of the short Erasmus traineeship in a blended format:. Additionally, you receive the grant for two extra days: one day before and one day after the physical part of the mobility.

  • Up to the 14th activity day in the host country: 79 €/day
  • 15th to 30th activity day in the host country: 56 €/day

You apply for the grant after you have arranged a traineeship placement. The application must be submitted at least one month before the planned start date and within one of our application periods.

The application and all mandatory documentation must be submitted through the MoveON application system. Please note that we cannot approve applications for traineeship periods that have already begun.

  • 15–30 May
  • 15–30 September
  • 15–30 November

You are responsible for finding your own traineeship, either independently or with support from your department, before you can apply for the Erasmus traineeship grant.

Tips for finding a placement

Applying for a traineeship is like applying for a job. Student of Uppsala University can obtain career advice and guidance, such as guidance and feedback on CVs and cover letters via UU Careers.

You can contact companies or organisations of interest directly. Your department may also be able to help through their research networks and contacts. Many companies advertise internships or traineeships on their websites. You can also search platforms such as GoinGlobal, erasmusintern.org, Erasmus Internships & Placements and Go Overseas.

Organisations not eligible for Erasmus traineeships

Some organisations are not eligible hosts for Erasmus traineeships due to rules on double EU funding and conflicts of interest:

  • EU institutions and other EU bodies. The parliamentary offices of MEPs are not eligible, but party secretariats for the EU parliament are not usually considered a part of the European Parliament, and are therefore eligible hosts. See a full list here.
  • Organisations that manage EU programmes, for example national Erasmus+ agencies such as the Finnish National Agency for Education

Once you have found a traineeship, it is time to create a Learning Agreement for Traineeship. This is a contract of expectations between the trainee, the host organisation, and Uppsala University. It contains key information such as dates. The Learning Agreement is completed and signed by you, your contact person at Uppsala University and your contact person at your host organisation.

Traineeships within the framework of a internship course or degree project

Complete box one, page three of the Learning Agreement. Your supervisor or Erasmus Coordinator in your department should sign as the responsible person in the sending institution on page five.

Traineeship outside of your regular study programme or after graduation

Complete either box two or three on page three. Someone from your department must sign to confirm that your traineeship is relevant to your studies. This may be your programme coordinator, your department’s international coordinator or thesis supervisor. After you have submitted your application the Unit for International Mobility will sign the last page as the responsible person at the sending institution.

The application is submitted electronically through the MoveON system and consists of the following parts:

  1. Online application form in MoveON
  2. Academic Purpose Statement
  3. Learning Agreement
  4. Official transcript of records
  5. Buddy or mentorship certificate

You can also upload certificates from the buddying or mentorships programmes.

You will need to provide:

  • Personal information and contact details: Provide an email address valid for at least 3 months after your end date.
  • Emergency contact: You should inform a close friend or relative that they may be contacted in case of an emergency if we are unable to reach you.
  • Your educational background: Your programme, education level and department
  • Information about the traineeship and its duration: Traineeship title, host organisation, start date and end date, and complete the Academic Purpose Statement (APS) in a free-text field in the application form in MoveON. Read more about the APS below.
  • Grant Information: Indicate whether you have previously received an Erasmus grant for studies and/or traineeships, and at which educational level, either here or at another university. Also indicate whether you are applying for inclusion support and/or an additional grant for sustainable travel.
  • Bank details: Provide your bank account number (and clearing number) the bank’s name, country, IBAN, BIC/SWIFT. We can only pay funds to the grant holder’s bank account. Errors here will delay the grant payment.
  • Document upload: Upload the completed and signed Learning Agreement, official transcript of records and buddy/mentorship programme certificates.
  • Consent: You will need to provide consent to the processing of your personal data.

2. Academic Purpose Statement (APS)

Uppsala University supports students in gaining valuable experience abroad, thereby increasing employability. In the Academic Purpose Statement (APS), you explain how the traineeship relates to your studies and future career goals.

Write a maximum 400 words in the APS text field of the online application. Your APS should be written in English, but can be written in Swedish if it will be the working language of your traineeship.

3. Learning Agreement

Upload your completed Learning Agreement, signed by all parties. If your traineeship is outside of your regular study programme or takes place after graduation, the Erasmus Team will sign on behalf of the sending institution page five, after your application has been submitted.

4. Official transcript of records

You must have completed 60 credits before the start date of the traineeship. Bachelor’s level students must attach a transcript of records showing all credits obtained so far, including credits from other universities. Students at the master’s or doctoral level do not need to attach a transcript of records.

5. Buddy/Mentorship certificate

If you have been involved in any buddy/mentor/welcome activities at Uppsala University, you can include a certificate to confirm this.

To date it has not been necessary to employ a competitive selection process since applications that meet the eligibility criteria are typically awarded a grant. If Uppsala University finds itself in a situation where budget or other restrictions require a competitive process, the selection principles below will be applied.

An application will be awarded up to 8.2 points. If several students achieve the same number of points, selection interviews will be conducted with these students.

The priority order for the traineeship 1–4 points

  • 4 points - Students undertaking credit-bearing traineeships that will be entirely credited and included in their degree. For full-time traineeships, 1 week should correspond to approximately 1.5 credits.
  • 3 points - Students undertaking credit-bearing traineeships that will be partially credited and included in their degree. For full-time internships, 1 week should correspond to approximately 1.5 credits.
  • 2 points - Students undertaking non-credit-bearing traineeships before their degree completion.
  • 1 point - Students undertaking non-credit-bearing traineeships after their degree completion.

Academic Purpose Statement 1–4 points

  • 4 points - Exceptionally strong academic and professional motivation.
  • 3 points - Strong academic and professional motivation.
  • 2 points - Satisfactory academic and professional motivation.
  • 1 point - Weak academic and professional motivation.

Other

  • 0.1 points - Student studying a underrepresented subject (in the application round).
  • 0.1 points - Student who has been involved in mentorship or welcome activities.
  • -0.1 points - Student who has participated in an exchange with an Erasmus grant for studies through Uppsala University.

What happens after the application deadline?

Application processing starts shortly after the application deadline. A decision can usually be expected within 4 weeks.
