Preparation process
The Recruitment Committee and the departmental preparatory committee should normally have two meetings each in each recruitment. The meetings are to be held after the application deadline has expired and referee assessments have been completed.
First meeting of the departmental preparatory committee
When the referees’ opinions have been received in a matter, the faculty officer contacts the head of department and local HR. The departmental preparatory committee should then hold its first meeting. When the date of the meeting has been set, the faculty officer should be informed so that a first meeting on the matter can also be booked in the Recruitment Committee.
The purpose of the first meeting of the departmental preparatory committee is to propose a shortlist based on the appointment specification, applications and referees’ opinions. The task includes examining the applications and checking that the applicants have submitted documentation of the doctoral degree they have obtained. To be eligible, applicants must have obtained their doctoral degree before the deadline for applications. When recruiting an assistant professor, the committee must also note which of the applicants have obtained their doctoral degree within five years of the deadline for applications. The preparatory committee’s proposal is presented by subject representative 1 (rapporteur) at the first meeting of the Recruitment Committee.
First meeting of the Recruitment Committee
As soon as the faculty officer knows the date of the departmental preparatory committee’s first meeting, a first meeting of the Recruitment Committee is planned. The Recruitment Committee must then decide which applicants to call to interview, based on the appointment specification, applications and the referees’ opinions. Before making its decision, the Recruitment Committee must consider the proposal from the departmental preparatory committee.
Immediately after the first meeting of the Recruitment Committee, the faculty officer will start to plan the second meeting, i.e. the interview session. When the programme for this is set, the faculty officer sends it to the head of department and local HR. The department is then responsible for booking travel and accommodation for applicants (if interviews are to take place on site), as well as any activities over and above the Recruitment Committee’s programme. The department is also expected to appoint hosts who contact the applicants in good time before the interview.
Second meeting of the departmental preparatory committee
When the first meeting of the Recruitment Committee has been planned, the departmental preparatory committee should decide on a date for its second meeting so as to be able to hold this in good time before the Recruitment Committee’s second meeting (the interview session).
The purpose of the preparatory committee’s second meeting is to prepare for the interviews. In cases where the possibility has been raised in the appointment specification, the preparations should include checking whether any of the applicants called to interview has requested direct promotion to professor.
Suggestions for further preparations:
- If a possible programme for applicants called to interview beside the Recruitment Committee’s meeting has not been finalised, discuss the content and arrangements for this.
- Obtain references, in which case they should be documented and registered and made available to the Recruitment Committee before the interview.
- Think about the questions that should be put to the applicants called to interview.
Second meeting of the Recruitment Committee
Conduct trial lecture (no trial lecture for professorial appointments), research presentation and interview with applicants called to interview. Referees should normally participate via Zoom.
Decide on a ranking of the applicants based on the appointment specification, applications, referees’ opinions, trial lectures, research presentations, interviews and references (if any).
Recruitment Committee
The Faculty of Science and Technology has a single Recruitment Committee for the whole faculty. The members of the Recruitment Committee are described here.
The subject representatives are members of the Recruitment Committee and therefore participate in the decisions that it makes. The head of department has the right to attend and to speak at meetings. The faculty officer provides administrative support to the Recruitment Committee.
Departmental preparatory committee
In addition to the Recruitment Committee, each department is to have a preparatory committee appointed by the department board.
The preparatory committee should be composed as follows:
- head of department (chair)
- subject representative 1 on Recruitment Committee (rapporteur)
- subject representative 2 on Recruitment Committee
- at least one student representative (appointed by the relevant student union)
The department board decides whether additional roles should also be included, and if so, which. The department board decides whether the preparatory committee is appointed for a certain period, or whether a new preparatory committee is appointed in each individual recruitment. The department HR office (local HR) provides administrative support to the preparatory committee.
