Collaboration Tools

The department for university-wide IT (University IT Services, UIT) works to provide easily accessible and modern IT tools to create, share and store common information and collaborate on document management, note-taking, questionnaire surveys and projects. A number of tools are currently offered for collaboration between parties both within and outside Uppsala University. The services are under development and may change.

Collaborative workspaces are available through Sharepoint Online where you edit in documents simultaneously with colleagues, create and edit lists and securely share documents.

Projectplace is a cloud service where you can manage, plan and follow up projects. Projectplace is delivered by Sunet Project Tools as a cloud service and may involve a cost to use.

The Kurt, Mentimeter, Survey&Report, and REDCap services are survey and form tools of various kinds that offer the possibility to collect and in some cases process information from participants in lectures, courses and studies.

Specific rules of use regarding collaboration outside of the University

To ensure that our information is properly protected, we need to classify our information and ensure the correct level of protection in the environments where that information is stored. Information is classified based on the fundamental aspects of Confidentiality, Integrity, and Availability (CIA). The requirements on the system should be based on classifications of the information stored therein and are identified by conducting a requirements analysis.

Projectplace and Sharepoint Online are part of the University's e-administration model and have been analyzed and found to meet the CIA-level 222.

As such, these services are considered sufficiently secure for the storage of personal data that is not considered sensitive.

Specific Rules of Use

To use these tools, you must follow the specific rules governing collaborative efforts with parties outside the university. In brief, these rules state that:

  • Online services must not be used to store and process sensitive personal data or sensitive documents.
  • Mission-critical information may be stored only as copies in services such as Sharepoint Online or ProjectPlace.
  • If you share files with people outside Uppsala University they become official or public documents.

Survey tools

Kurt – a web-based forms system that is free-of-charge to use for everyone at Uppsala University. You can use it to order and administer course evaluations, questionnaire surveys, self-tests and registrations.

Mentimeter – ask questions during a presentation, allow the students to answer using their smartphones, browsers or other mobile devices. The results are displayed directly on the screen. You can also use Mentimeter to conduct surveys before and after lectures.

REDCap – a tool for electronic data collection during research studies that provides access to case report forms (CRFs), surveys and data verification/signature capabilities. Contact REDCap user support at UCR via itsupport@uu.se for questions about praxis and regulations.

Survey&Report – a web-based advanced questionnaire and survey tool that can be used by all employees. The tool is procured by Sunet (Swedish University computer Network).
