Email and Calendar

Use an email application on your computer, mobile or tablet to read and send emails, organise contacts, create tasks and manage your calendar.

Want to access your email from any computer with an internet connection? Then use Outlook on the web. The web address is https://mail.uu.se.

 

The following email applications are supported at Uppsala University:

During bridge days and longer public holidays, we take measures to reduce the risks associated with insecure emails, such as spam and phishing. One such measure might be to limit the number of emails that a user can send per day. Therefore, it's a good idea to plan your email usage in advance for these periods. You can read more about public holidays and bridge days here.

Service level and availability

The mail service at Uppsala University is normally available every day, around the clock. Handling of inquiries, orders, error reports, maintenance and development takes place during regular office hours.

Description of the Email and Calendar Service

The University's email and calendar service consists of several IT systems that together form the entirety of the service. The main system is Microsoft Exchange, managed by University IT Services (UIT) in its own server halls within the University.

Sympa is the system for mailing lists and is also operated internally within the University by UIT. Sunet Mailfilter is used to check incoming and outgoing emails for viruses, spam, malware, or other malicious code. The service is operated by Sunet and administered by UIT.

You should only log in to these systems if you are affiliated with Uppsala University or collaborate with Uppsala University and have been asked to log in.

Students use Microsoft Exchange Online, which is part of Microsoft 365.

Transfer of Personal Data

Personal data in the email and calendar systems is limited to username, first name, last name, and email address.

Other Processing of Personal Data in the Services

Content, letter text, and attachments in emails and calendar events may contain personal data. Sensitive personal data must not be sent unprotected.

Technical logs are saved for troubleshooting and security-related incidents. These technical logs contain information about all logins made, including transferred personal data.

In general, logs within the service are saved for 3-12 months.

Transfer of Sensitive Personal Data to Third Parties

No sensitive personal data is transferred to third parties except what users themselves enter.

Legal Basis

Personal data is handled based on the legal basis of public interest. The personal data must be transferred to give users access to the service for their work at Uppsala University or in collaboration with Uppsala University.

Right to Access, Rectification, and Deletion of Personal Data

Personal data for the university's students, employees, and other affiliates are automatically corrected based on the personal data transferred from Uppsala University's directory and authorization system (AKKA).

To delete your personal data or request an extract, contact dataskyddsombud@uu.se.

Cleaning of Personal Data

Uppsala University saves your personal data only as long as the purpose of the processing requires, or as long as required by law.

This service follows the international framework GÉANT Data Protection Code of Conduct for the transfer of personal data from identity providers to the service. The framework is intended for services in Sweden, the EU, and the EEA used in research and higher education.
