Adato – for HR and manager

Adato is a system for monitoring sickness absence and documenting rehabilitation and preventive measures. Adato also has a connection to Uppsala University's payroll system Primula, which means that Adato always contains up-to-date information about employees and sick leave. To access Adato, you must either be on the University's premises in Uppsala (Uu's network) or use a VPN connection (also applies to Campus Gotland).

There are three different groups of authorisations. Please read the information below before submitting your authorisation request.

Authorisation of head of department/equivalent

There are two different authorisations: Head of department/head of division/equivalent including or excluding notifications from Adato.

  • Including notifications: Notifications/reminders about rehab cases will be sent from the system to your Outlook email. The authorisation is institution-wide.
  • Excluding notifications: No rehab notifications/reminders will be sent from the system. The authorisation is for the whole institution.*

* If you do not want to receive messages from Adato, it is important that another person is assigned authorisation including messages, e.g. HR close to the activity, head of unit or administrative manager.

Qualification of research group leader/head of unit/equivalent

Authorisation is applied for by completing an authorisation form and having it approved by the head of department/equivalent.

There are two different authorisations: Research group leader/unit head/equivalent with or without own org.unit number.

  • With own org.unit number: Research group leader/unit manager/equivalent with delegated work environment tasks for one or more organisational units (research groups/equivalent with own org.unit number e.g. 74910) within the department/division. The authorisation refers to the entire organisational unit.
  • Without own organisational unit number: Research group leader/unit manager/equivalent with delegated work environment tasks for one or more research groups/equivalent without own organisational unit number. The authorisation only refers to specific rehab cases within the research group/equivalent.

Qualifications HR generalist/administrative manager/equivalent

Authorisation is applied for by completing an authorisation form and approved by the head of department/equivalent.

  • Notifications/reminders about rehab cases will be sent from the system to your Outlook e-mail. The authorisation refers to the entire department.

Apply for authorisation in Adato by filling in the form "Adato authorisation request". Word, 143 kB. The form should be completed electronically and attached to an email sent via the head of department/counterpart to adato@uu.se.

Use the same form for changes and cancellations of authorisations.

Medical certificates must be uploaded in the Adato rehab system.

When the medical certificate is uploaded, a message is automatically sent to the Payroll Unit, which registers the information in Primula. You do not need to email the Payroll Unit about the date and degree of absence.

When the medical certificate is uploaded and saved in Adato, you do not need to keep a copy of it. Any original is returned to the employee or stored safely in a safe or similar as before. Deletion takes place after ten years.

Please note the following:

  • When the medical certificate is registered, the name of the person handling the medical certificate must be entered in the field VHR/equivalent and possibly a description. The payroll unit needs to know the name of the VHR/equivalent in cases where they need to ask questions about the certificate. It happens that the scope stated in the medical certificate does not match what the employee has registered in Primula and then this must be reconciled.
  • Important information concerning the medical certificate is entered in the same field, VHR/equivalent and any description.
  • If a medical certificate contains different scopes for different periods, you should register a medical certificate per scope for easier handling.
  • The medical certificate is uploaded in the form we receive it. Diagnosis can be concealed by the employee, as we as an employer cannot demand this information: Act (1991:1047) on sick pay §8 - The certificate does not need to contain details of the illness the employee is suffering from.

Certificate for carrier allowance

If a medical certificate has been received for a carrier's allowance, it can be registered in Adato.

NOTE! It is important to first notify the Payroll Unit by email (lon@uu.se), as no salary deduction should be made.

Adato is the University's support system for monitoring sick leave and documenting rehabilitation and preventive measures. Adato is linked to Uppsala University's payroll system Primula, which means that Adato contains up-to-date information about employees and their sickness absence. The system handles data about people who are or have been employed at Uppsala University. The personal data processed are name, personal identity number, AKKA ID, organisational affiliation, position, type of employment, length of service, sick leave and salary. No personal data is transferred to third countries (countries that are not members of the EU or EEA).

The purpose of the treatment is: Comprehensive, secure and clear documentation ensures that every step of a rehabilitation is made clear, from fulfilling legal requirements for a rehabilitation plan at an early stage to systematically assessing, testing and evaluating different adaptation options.
