Channels for communication with staff

Several channels are available for communicating with staff. The principal channels are listed here.

The Staff Gateway – www.uu.se/medarbetare – offers the option of publishing information and news/messages at various levels – University-wide, local pages for faculty, department, disciplinary domain, campus area, and division of the administration.

It is also possible to publish information for a specific target group within the University via targeted gateways for researchers, teaching staff, doctoral students, managers and directors, study administrators, financial administrators and HR.

Local pages on the Staff Gateway

Each department, faculty, disciplinary domain, campus area and division of the administration has its own pages on the Staff Gateway. The department and division pages are only accessible to staff employed there.

Target group: Staff in the particular organisational unit.

University-wide news on the Staff Gateway

News published in the University-wide feed should be of strategic importance or of interest to most of the University’s staff.

News/messages for specific target groups on the Staff Gateway

The Staff Gateway offers an option of placing news on the targeted gateways.

Target group: researchers, teaching staff, doctoral students, managers and directors, study administrators, financial administrators and HR.

Local news and messages

If a news item/message is addressed to staff at a specific department or similar unit, the news is published on a local page. It is possible to publish local news for disciplinary domains, faculties, departments, centres and campus areas, and for the University Administration.

Contact your local communications officer or webmaster for guidance.

You can personally give tips on events, lectures, seminars etc. that are open to members of staff at the University.

It is also possible to publish events in local department/organisation listings or add an event intended for a specific target group, such as researchers. If there is more than one clearly defined target group for the event, it may be appropriate to publish it in more than one calendar of events.

There are noticeboards and digital information screens in many buildings and several of the University’s campus areas. They are suitable for short messages and are effective channels when the purpose is to draw attention to arrangements and important events at the University or a certain campus area, for example. They can refer to more detailed information on the Staff Gateway.

Printed material can be effective, even in a digital environment like a university. Posters, leaflets, tabletop notices, etc. can remind and alert people to important deadlines, new guidelines, changes or ongoing initiatives.

From a sustainability perspective, printed material should be used sparingly and after due consideration.

Personal meetings are an effective and important channel when establishing new relations and projects or in communications concerning a staff member’s life and everyday situation. Meeting in person creates interaction, and makes it possible to avoid misunderstandings and to ask and answer questions that may arise.

Virtual conversations are a useful alternative for meetings of a simpler nature or when it is not possible to meet in person.

Email should be used in a well-considered manner and with a clear purpose to minimise the influx. When used correctly, email is an effective direct channel.

There is an email list for reaching all members of staff at the University. This should be used sparingly and only with the approval of the Vice-Chancellor, the University Director or the Director of Communications.

Events intended for the University’s employees – such as department days, division days, social events before the summer break or seminars, etc., can be used for example for continuing professional development, workplace well-being and information exchange. Important to determine the purpose of the event before it is planned.
