Upgrade your Microsoft Office programs
Notera
Due to technical issues, it is currently not possible to upgrade the Microsoft Office applications to Office 365. If you have already upgraded, the applications will continue to function as usual.
Otherwise, you can upgrade in September 2026 – until then, please continue using the current version.
Everyone who has a managed Windows or Mac computer at the university will need to upgrade their Microsoft Office programs to the latest version Office365.
When?
In September.
The latest date to install the new version is October 2026. A new exact date for the mandatory upgrade will be announced as soon as possible.
How?
There are two ways to perform the upgrade in september:
- Go to Software Center or Self Service on your computer. Search for “Microsoft Office 365” and click “Install.”
- When you receive a notification to upgrade your Microsoft Office applications, choose to install the upgrade immediately. Starting in September, notifications will appear on your computer at regular intervals.
The installation takes approximately 10 minutes. Once the installation is complete, you will need to sign in using your university email address and authenticate using MFA. This applies regardless of which method you choose to upgrade.
Important information about MFA
To activate your Microsoft Office programs after installation, you will need to sign in with your university email address and authenticate using MFA. You will use the same MFA method that you use to sign in to Microsoft 365 (M365). This does not need to be repeated each time you use the programs.
Therefore, make sure that you have activated MFA for Microsoft 365 by following this guide.
Questions and answers
Who is covered by the upgrade?
The upgrade applies to anyone who uses a managed Windows or Mac computer.
When will the upgrade take place?
Those with a managed computer will receive notifications indicating that they need to install the new Microsoft Office version.
What happens during the mandatory upgrade?
We will get back to you with a date for when the mandatory upgrade will take place. It is provisionally scheduled for October 2026.
You will be given some time to save any work you are currently doing in Microsoft Office programs. After that, all open Office applications (Word, Excel, PowerPoint, Outlook, etc.) will be automatically closed and the installation will then begin.
What is the biggest change with the new version?
The biggest change is that after the upgrade, you will need to sign in to Office once using your university email address and MFA for M365 in order to use the new version.
The Microsoft Office license is only included in the IT charge levels Employee Maxi, Midi, and Other active personnel. Therefore, it is important that the correct IT charge is registered on your university account. Users with an incorrect IT charge level will not be able to sign in to the new Office version.
Contact your directory administrator at your department to check and, if necessary, change your IT charge.
Why do I need to upgrade my Microsoft Office programs?
From autumn 2026, Microsoft will no longer provide security updates or support for the current version of Office that we use today.
Do I need to sign in to Microsoft Office?
You will need to sign in with your university email address and authenticate using MFA for M365 the first time you start a Microsoft Office application after the version upgrade.
What applies if I have an unmanaged computer?
If you have an unmanaged computer, you can download and install the new Microsoft Office version yourself.
Sign in with your university email address and authenticate using MFA for M365 the first time you start a Microsoft Office program after installation.
Why is it important that the correct IT charge is registered on my university account?
The Microsoft Office programs are only included in the IT charge levels Employee Maxi, Midi, and Other active personnel. If you do not have this IT charge registered on your university account, you will not be able to use Microsoft Office.
Contact your directory administrator at your department to check and, if necessary, change your IT charge.
I have installed the Office programs but cannot sign in. What should I do?
