When you are awarded an MFS grant, it is important that you carefully read and follow the instructions provided in emails and other communications. Below is an overview of key points you need to be aware of. This includes required preparations, documents you must submit, and how to disseminate the results once your study is completed.

Before you travel

Attend the preparatory course

Once you have been awarded an MFS grant, you must participate in a mandatory preparatory course provided by the university. You will receive more information about this if you are awarded the grant.

Sign the grant contract

You must sign a grant contract issued by the Unit for International Mobility Support. The funds can only be disbursed once the contract has been signed.

Contact your academic supervisor

It is important that your data collection meets academic standards and that your field study proceeds as planned. Therefore, contact your academic supervisor as soon as possible to begin planning your study.

Book your travel

Book your travel without delay and inform the Unit for International Mobility Support of your travel dates.

Review your insurance coverage

All students conducting Minor Field Studies are insured through Uppsala University and are covered by the Legal, Financial and Administrative Services Agency's (Kammarkollegiet) insurance Student OUT.

In some cases, additional insurance may still be required. Carefully review what is included in the Student UT insurance and assess whether you need supplementary coverage.

Monitor the security situation

The security situation in a country can change rapidly. Stay informed and regularly check the Swedish Ministry for Foreign Affairs’ (UD) travel recommendations. More information about MFS and UD travel advice can be found under the section Countries and restrictions”.

During your stay

Upload travel documents

As soon as you arrive in the host country, upload a copy of your outbound boarding pass to the MFS portal. If you have one or more layovers, upload all boarding passes for the journey.

If you experience a non-emergency incident, report it via the Legal, Financial and Administrative Services Agency's (Kammarkollegiet) website or contact their switchboard during office hours at +46 (0)8 700 08 00.

After your return

After completing your field study, you must submit final documentation. A template for the participant report and a link to the form where you upload the required documents will be emailed to you.

Boarding passes for the return journey

As soon as you are back in Sweden, upload a copy of your return boarding passes to the MFS portal (and, if you have not already done so, also upload the outbound boarding passes). Remember to upload all boarding passes if you had one or more layovers.

Submit the participant report

No later than one month after the last day of your field study, i.e. the day you leave the host country, you must upload the participant report.

Upload your thesis

No later than one year after leaving the host country, you must publish your thesis or degree project in the national MFS database. (Instructions will be provided at a later stage.)

Please note that Sida has the right to freely use the thesis.

Participate in knowledge dissemination

You are responsible for disseminating the knowledge you have produced and for sharing information about MFS. This may, for example, be done no later than three months after your return by:

  • Presenting your field study to other students in the course you are taking at your department
  • Producing a video presenting the project that can be used as informational material
  • Helping to disseminate information about MFS at events organised by Uppsala University

Whenever possible, you should also make the study available to relevant stakeholders in the host country, in the local language.
